How to Plan a worry-free Office Party
Somebody in your office has just been told to organise the Christmas party. If that somebody is you, here is the thing nobody says out loud: people will forget the venue, the games and the speeches, but they will remember whether the food ran out.
Christmas catering is the part of corporate catering with the least margin for error, because every company in the Klang Valley wants the same three weeks in December. This guide covers what it costs, when to book, and the logistics that influence office parties.
Lock the date before the menu
The mistake most planners make is debating menus for three weeks before confirming a date. Do it the other way round.
December catering capacity in KL is finite. Every caterer has a fixed number of kitchen teams and buffet setups, and the second and third weekends of December sell out first. By the time you have agreed on turkey versus lamb, your preferred date may be gone.
Pick the date, confirm it, then take your time with the food. Weekday lunches and the first week of December are consistently easier to book than a Friday night close to Christmas.
What Christmas catering actually costs
Our Christmas buffet menus are quoted per head. The tier you pick is mostly a question of how many dishes and desserts you want on the line.
Menu | Per pax |
Corporate Christmas (10 items) | RM43 |
Christmas Menu A (14 items) | RM62 |
Christmas Menu B (18 items) | RM79.90 |
Prices exclude SST. Each menu has a 50-pax minimum and a RM2,000 minimum spend per event.
The turkey question
A carving station is the one thing that makes a buffet feel like Christmas rather than a catered lunch. It gives people a reason to queue, a chef to talk to, and the photo that ends up on LinkedIn.
Carving station | Price |
Turkey, serves ~20 | RM800 |
Beef ribeye, serves 20–30 | RM689 |
Leg of lamb, serves 20–30 | RM480 |
Roast chicken, serves 10–12 | RM200 |
All include a chef on site. Turkey is subject to availability and December supply is limited, so add it when you book rather than two weeks before.
The logistics that influence office parties
Office buildings have different logistics requirements from event venues, so do take note of these details when booking an office party.
Loading bay access. Many corporate towers require an approved loading bay document, submitted days in advance. Nobody remembers this until the truck is turned away.
Lifts. If there is no service lift, equipment goes up the stairs. That is a real cost and a real delay. Tell your caterer in advance.
Buffet space. A line for 200 guests needs roughly 3ft by 21ft of clear floor. Measure it before you promise the pantry will do.
Timing. Food is safe to eat for about three hours from serving. Schedule your speeches so people eat while the food is at its best, not after.
Send photos of the setup area when you request a quote. It takes two minutes and prevents most of the above.
A booking order that works
- Confirm the date and secure the venue or meeting space.
- Get a rough headcount — you can refine it later, but you need a number to quote against.
- Request quotes and pick your menu tier.
- Add carving stations and any dessert table while availability lasts. A Christmas dessert table needs at least two weeks' notice.
- Sort loading bay approval and send setup photos.
- Confirm final headcount about a week out.
Order slightly above your headcount. Running out is the one thing people genuinely remember, and the marginal cost of extra portions is far lower than the cost of a buffet that empties at 1pm.
